Preparing the monthly work plan.3. Management of contracts.4. Checking the requests according to the financial policy..6. Development/adjustment of policies, procedures and forms.7. Monitoring the flow of cash and bank to ensure transparency and timely and accurate accounting.8. Supervising subordinates to ensure that they have the necessary integrity and capacity.9. Principled, document-based and timely response to inspections.10. Checking and approving attendance reports of employees and providing feedback in necessary situations.11. Organizing monthly meetings of the administrative council and leading the meetings of the administrative council in the absence of the chairman.12. Sending monthly reports and financial documents to the directorate for approval.Recruitment and Selection
  • Ensuring that recruitment process and good practice is carried out in all recruitment and selection activity.
  • Specific responsibilities include job description development, recruitment planning, advertising and short-listing, selection interviews and tests, job offers, salary calculations.
  • To perform the following administrative functions of the recruitment process: advertise vacancies, produce and circulate shortlists, arrange tests and interviews, and request references etc.
  • Inform and ensure all relevant parties are aware of the recruitment process at all stages
  • Keep interviewed candidates informed of their application status
  • Participate in the interview panel for the selection of local staff positions
Employee Relations
  • Responsible for the accurate and filling of administrative procedure concerning local employees and send to Central office.
  • Responsible for updating (on a monthly basis) and proper tracking of all staff contracts, alerting their line managers and the HRM, when contracts are close to expire (at least 30days in advance) or extensions need to be issued. Update ID cards, licenses and other local staff documentation.
Learning & Development
  • To identify the training needs of staff and establish a training plan based on needs and available resources
General
  • Ensure all filing systems are updated on a regular basis;
  • Other administrative tasks as delegated by supervisor
Job Requirements:
  • Should have degree in business administration, bachelor degree in business administration, or related fields with 3 years experience.
  • Previous experience in the same area.
  • Good Public relation skills.
  • Good negotiating skills.
  • Excellent organisational skills and the ability to prioritise.
  • Strong attention to detail.
  • Ability to work efficiently and be well organised
  • Proactive approach and desire to learn.
  • Ability to develop and maintain both internal and external relationships.
  • Flexible in working hours ensure your functions are covered during your absence at any time
  • Able to work with Microsoft Office.
  • Honest and open.
  • Use of common sense.
  • Languages: Fluent in Dari, Pashto and English.
