- Review the fixed, non-fixed asset and supply policy, adjust the policy and procedures to meet standard of supply and asset keeping and management.
- Assist in the preparation of procurement plans in line with project and organizational needs.
- Collect quotations, prepare bid comparison sheets, and ensure procurement decisions are documented properly.
- Maintain an updated vendor database and ensure vendors meet compliance requirements.
- Assist in preparing and managing contracts, purchase orders (POs), and service agreements.
- Ensure proper filing and documentation of all procurement processes for audit purposes.
- Support procurement committee meetings, take minutes, and ensure transparency in the selection process.
- Monitor delivery schedules and follow up with suppliers to ensure timely delivery of goods and services.
- Ensure compliance with organizational procurement policies, donor guidelines, and local laws.
- Assist with inventory records and asset management, ensuring timely tagging, tracking, and disposal in line with procedures.
- Assist in processing daily financial transactions including vouchers, payments, receipts, and petty cash.
- Ensure all financial transactions are properly authorized, coded, and supported with adequate documentation.
- Assist in reconciling bank statements and maintaining up-to-date cashbooks.
- Support in payroll preparation, ensuring all staff payments are accurate and timely.
- Prepare and maintain payment vouchers and journal entries in the accounting system.
- Assist in monthly, quarterly, and annual financial reports as required by management and donors.
- Monitor advances and ensure timely liquidation with supporting documentation.
- Assist in financial data entry and maintain an accurate filing system for finance records.
- Support in internal and external audits by providing necessary documents and clarifications.
- Ensure strict confidentiality of financial and staff information.

- Education: Bachelor's degree in Finance, Accounting, Business Administration, Economics, supply chain management or related field.
- Experience: At least 3 years of relevant experience in finance and/or procurement, preferably in NGOs, INGOs, or donor-funded projects.
- Familiarity with procurement procedures and financial management.
- Knowledge of accounting software (QuickBooks, SUN, ERP, etc.) is an asset.
- Good command of MS Office (Excel, Word, Outlook).
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Languages: Proficiency in English (written and spoken); local languages preferred.
